Appendix B:
Leave Policies And Obtaining A Substitute

(Please review Article 9 of the Contract)

Type of Leave

How does it get approved-how do I get a substitute?

Other Notes

Sick Leave (personal or family)  See Article 9 of the contract for a list of what falls under sick leave.

Call 828-4927 by 6:30 AM and leave a message on the tape, or see the receptionist the day before.

If feasible, you may use the Fax Machine (829-0178) for lesson plans.

Obviously, if a medical emergency develops after 6:30 AM call ASAP.  We may have difficulty finding a qualified substitute, but we’ll do the best we can.

Conference Leave, including coverage for field trips, district meetings, release time for curriculum development, etc.

Method 1) If you will have reimbursable expenses, completes a Travel and Conference Form and turn in to the Principal.  There is a line for date(s) substitute is required.  If approved, the Principal will give the form to the receptionist so she can obtain a sub. Multiple persons going on the same trip must submit their own individual form.

Method 2) If the leave involves no reimbursable expenses such as release time at school, attending a district task force meeting, etc.  Please give the Principal a typed or handwritten note indicating the purpose of the leave with explicit times when substitutes are needed.  Multiple names can be grouped together.  If approved, the Principal will give the information to the Receptionist so she can obtain subs.

Method 3)  If the District Office or an outside group will be paying for the substitute, make a written request to the Principal and attach a copy of a letter or other written confirmation of sponsorship so we can bill the appropriate group.  Note: having a willing sponsor does not guarantee approval.  Approval is still subject to availability of substitutes, total number of days of absence, and other information.  If approved, the Principal will give the information to the receptionist so she can obtain a sub.

In August, we go through a process to reserve funding for substitutes for travel and conference leave, as well as field trip leave.  This does not constitute approval.  A decision on approval will be made at the time the Travel and Conference Form is submitted, and is subject to availability for which funds were set aside, and the total number of teachers already approved for the are requested date(s).  Substitutes will not be arranged until the multi-part Travel and Conference Form is turned in, and the leave is approved.

Keep receipts if you expect to be reimbursed!

Personal Leave There is a form available in the office for Personal Leave Requests.  Turn in this form to the Principal.  Leave prior to or after vacation periods (Thanksgiving, Christmas, and Spring Break) require special approval as “Dock Days” by the Central Office.  These are approved on a first come-first served basis.  The Principal will notify the receptionist so she can obtain a substitute.

Car or weather problems are charged to personal leave.  In these emergency situations, call 828-4927 ASAP and fill out the personal leave form when you arrive.

Personal leave might not be approved if it causes more than 10% of the faculty to be out on a given day.  As a result, persons who make non-refundable deposits without getting prior approval, do so at their own risk.  This is particularly true around vacation periods, holidays, and Fridays and Mondays in the Spring.

Association (Union) Leave See Contract for details.
Sick Leave Bank See contract, and contact BEA for details.
Other forms of leave, including jury leave and family leave See contract, and contact the Principal as soon as possible. For family leave, also contact personnel as soon as possible.
School or School business Contract provision 5.3.8 addresses teachers who need to leave the building for school or school-related business during conference hours. Such employees need to check with the receptionist before leaving, and upon return.
