Email Issues and Best Practices

Every District 87 Distributed computer comes an email client that can be used to access District email.  On PCs it is Outlook 2003 on Macs it is either Outlook 2001 or Entourage 2004.  In addition to these clients there is a website: http://mail.district87.org that can be used to access email from within the district and even from home.  If for some reason your email is not working, please use the website listed above to browse and send email till the problem is fixed by Technology.  Below is some basic information for each platform.  If you need more help using Outlook or Entourage please see the Self Help website for more specifics over all email clients offered in District87 (Note:  We only offer support for the clients listed.  Any other client is not supported and may not work when it comes to connecting to the District's Email Server.  The only supported way to access email from home is through the web).

Outlook 2003

During the Summer of 2005 Outlook 2003 was deployed to all computers across the district.  This was an update from Outlook 2000 that was on all previous machines.  Outlook 2003 added the ability to better connect and reconnect to the Email Server when it was having problems and it also added a much different look than what was available in Outlook 2000.  If you are missing a shortcut to Outlook 2003 you can always find it in your Start Menu at the following location:

Email Tips

Here are a few things you should know about email.

  • If you receive emails that said you sent an email message to "person X" and you didn't, simply ignore it.  Most likely this is just someone else who had/has a virus and was using your email address.  If your computer is randomly sending out emails addresses you will be notified by technology of the issue.

  • Save yourself some time and check out this email hoax website.  You might want to check that out before you delete that file from your computer because you read in an email it is a virus.  If you have any questions about the legitimate nature of any email please talk to technology.

  • Check your !Spam and Junk Email Folder in Outlook 2003.  The !Spam folder is email detected by our Anti-Spam software and it is automatically moved there.  Junk Email Folder is where Outlook 2003 moves email it thinks is junk.  For more detailed information about Spam see the Anti-Spam section in Procedures.

  • If you have Auto-Archived turned on it will move archived email to your LOCAL COMPUTER and if something would happen to your computer it would be lost.  Please contact technology if you are having a problem with this.
